How do I get Africa Care?+
Africa Care runs on iPhone, Android and any modern web browser, with the same account and the same records everywhere.
- iPhone and Android: open app.africa-care.com/get on your phone and it takes you to the right store, or search for Africa Care Pro.
- Computer: sign in at app.africa-care.com.
How do I set up my practice?+
Sign up with your email, Google or Apple account, choose your account type (GP, Specialist, Allied Health, Dental or Wellness) and enter your council registration number. Then create your practice workspace with your practice details.
Every new practice starts on a free 14-day trial with no card needed.
How does registration verification work?+
Your registration number is checked automatically against the HPCSA, SANC or AHPCSA register, depending on your profession. If it can't be matched automatically, our team reviews it by hand.
The clinical AI features switch on once your registration is confirmed. If your notes aren't generating as a new user, this is the usual reason. Contact us and we'll check the status.
How do I add my staff and colleagues?+
As the practice owner, go to Settings › Team and invite each person by email with their role: doctor, clinical staff or admin staff. You choose what each person may do, for example which letters admin staff may prepare.
The person opens the invitation, creates their account with the same email address, confirms it and taps Continue.
I work at more than one practice.+
One login can belong to several practices. Switch between them in Settings › Workspaces. The active practice's name always shows in the app header.
The active practice is one setting for your whole account, so switching on your phone switches it on your computer too. If you see the wrong patients or letterhead, check the header first.
Dictation & CARLEX
How do I dictate a consultation note?+
Open the patient, go to Consultation Notes and tap the microphone. Speak naturally. When you stop, CARLEX writes a structured clinical note, which you can view in Standard or SOAP format.
Always read the note before saving. CARLEX supports your documentation, and you remain the author of every note.
Dictation isn't picking up my voice.+
- iPhone: Settings › Africa Care Pro › Microphone: turn it on.
- Android: Settings › Apps › Africa Care Pro › Permissions: allow Microphone.
- Web browser: allow the microphone when asked, or use the site settings next to the address bar.
Then close the app completely and open it again. If another app, such as a call or voice note, is using the microphone, finish that first. If a recording captures nothing, the app now tells you so, and your note is not sent empty.
My note says the network cut out, or it didn't generate.+
Your dictation is saved. If your phone locked, the app closed or the signal dropped mid-recording, the transcript and audio are recovered automatically. Open the note and tap Retry AI Formatting, and the note generates from what you said.
Can I add findings after the examination?+
Yes. Dictate or type the addition after the note, for example "BP 120/80, chest clear". CARLEX updates the note and keeps every fact you add. If a fact ever doesn't fit the note, it is added as a clearly marked Clinician addendum rather than dropped.
CARLEX keeps getting a word wrong.+
Correct it once in the note. CARLEX remembers your preferred term, including drug names, local terms and colleagues' names, and uses it in your future notes.
The AI features are missing.+
Check two things:
- AI consent: if you chose "Not now" when first asked, AI is switched off for your account. Turn AI processing on in Settings › Advanced.
- Registration: AI features switch on once your council registration is confirmed. See registration verification.
Admin staff can use AI only for the letters their practice owner allows, and a practice whose trial has ended cannot generate new documents until it subscribes.
Patients & scanning
What's the quickest way to add a patient?+
Tap Add Patient, then Scan, and photograph the patient's ID book, smart ID card, driver's licence or medical aid card. The details fill themselves in. Check each field before saving.
My scanned page came out skewed or unclear.+
- Hold the phone flat above the page, not at an angle.
- Keep all four corners of the page in view.
- Put the page on a contrasting surface, such as a dark desk under white paper.
- Use good light, and avoid glare on glossy cards.
The scanner straightens and crops the page automatically when it can see all four corners clearly.
I can't find a patient.+
Search My Patients by name, file number or ID number. If they still don't appear:
- Check the practice name in the header, in case you're in a different workspace.
- A patient referred to you appears after you accept the referral.
A referred patient now has two files.+
When a referral arrives for someone already on your practice's file, Africa Care asks whether to merge them into one card or keep two separate files. When the referral episode ends and you discharge the patient, your notes are copied into your practice's own file.
Documents & prescriptions
Which letters and documents can Africa Care write?+
From the patient's record, CARLEX drafts referral letters, sick notes and medical certificates, medical aid motivations, discharge summaries, clinical summaries, clinical letters, consult summaries and general letters. Each opens as a draft you can edit before saving, printing or sharing as a PDF.
The wrong letterhead or signature is on my document.+
- Letterhead comes from the practice you're working in. Check the header, switch practice if needed, and regenerate. Practice owners set the letterhead in Settings › Practice.
- Signature always comes from the signing clinician's own profile, in Settings › Profile. A new signature applies to new documents. Documents already signed keep the signature they were signed with.
How can someone check a document is genuine?+
Every document generated in Africa Care carries a QR code at the bottom right of its last page. Scanning it opens a public check page confirming who issued the document, from which practice, when and for whom. Anyone who receives a document can check it, including pharmacies, employers and medical schemes.
How do prescriptions work?+
Use Prescriptions on the patient for inpatient charts, PRN and stat doses, and discharge scripts. Medicines come from the national medicines register with NAPPI codes, and chronic scripts can carry repeats. You can also dictate a script, or scan an existing paper script to fill it.
Allied health and wellness accounts cannot issue prescriptions.
Referrals & messaging
How do I refer a patient?+
Open the patient and tap Refer. Choose a colleague from the directory or the map, give the reason by typing or dictating, set routine or urgent, and either write the referral letter or skip the letter and send. The referral and its conversation live in a secure chat with your colleague.
How do I accept a referral?+
Open the referral card in your referral chat and tap Accept. The patient then appears in your My Patients with the record your colleague shared. When you've finished, discharge the patient back to the referring doctor, who is notified.
My colleague isn't on Africa Care yet.+
When you pick someone who isn't registered, Africa Care offers to invite them. You can also share your personal invite link from Settings › Invite Colleagues.
Can I message and call colleagues?+
Yes. Chats support direct messages, group chats and a practice-wide chat, with voice notes, photos and files. Voice and video calls ring like a normal call on your phone. Allow the microphone, and the camera for video, when asked.
Lab orders & results
How do I order blood tests?+
On the patient, choose Order bloods · Lancet, or Order bloods · Ampath where your practice has it. Search the test catalogue, or say the tests ("FBC, U&E and a lipogram"). Save favourite packs, set where the patient is (rooms or in hospital, with the ward) and submit. The order goes to the laboratory electronically, and you can print the order form for the patient.
My order says "recorded — not sent".+
Your laboratory doctor code (mnemonic) is missing from your profile. The app asks for it the first time you order; you can also add it on your Profile. The code is issued by the laboratory, so if you don't have yours, ask your Lancet or Ampath representative.
Where do I see results?+
Results file themselves on the patient under Laboratory results. Open an order for the values with reference ranges and abnormal flags, or view trends for any test over time. The laboratory's own official PDF report is one tap away.
Subscriptions & billing
What plans are there?+
Every new practice starts with a free 14-day trial. After that, choose Standard (for solo practices) or Premium (for multi-practitioner teams), monthly or annually, with optional extra seats and storage. See Pricing for current prices. The practice owner manages the plan in Settings › Payments.
I subscribed on my iPhone.+
Subscriptions bought in the iPhone app are billed and managed by Apple through your Apple ID.
- Cancel or change: iPhone Settings › your name › Subscriptions.
- New phone or reinstall: tap Restore Purchases on the Africa Care plans screen.
- Refunds: handled by Apple, at reportaproblem.apple.com.
I subscribed on the web or Android.+
Payments are processed securely by Paystack. Africa Care never stores your card details. Manage, cancel or renew in Settings › Payments. For a billing question or refund, contact us with your payment reference.
My trial ended and I can't add anything.+
When a trial or subscription ends, the practice becomes read-only. Everyone can still view existing records, and nothing is deleted. The practice owner subscribes in Settings › Payments and everything works again immediately.
I paid, but it still shows my trial.+
Payments normally apply within a minute, and at the latest within the hour. Sign out and back in. If it still hasn't updated, contact us with your Paystack reference or Apple receipt.
Account, privacy & security
I forgot my password or can't sign in.+
On the sign-in screen, tap Forgot password and enter your email. A reset email from Africa Care arrives within a few minutes; check your junk folder too. If you signed up with Google or Apple, use that button instead. There is no separate password.
My verification email hasn't arrived.+
Look in junk, spam or quarantine for an email from Africa Care. On a work email address, your IT team may need to release or allow it. Wait a minute before asking for another, because repeated requests are paused briefly. Still nothing? Contact us and we'll help you straight away.
How do I change my sign-in email?+
Change it in Settings › Profile. We send a confirmation link to the new address, and the change takes effect when you tap it. Accounts that sign in with Google or Apple keep that account's email.
How do I delete my account?+
Request deletion inside the app at Settings › Profile › Danger Zone, use our account deletion page, or email support@africa-care.com from the address on your account.
Clinical records that a practice is legally required to keep are retained for as long as the law requires. Everything else is removed.
How is patient information protected?+
Africa Care is designed and operated in line with POPIA. Records are encrypted in transit and at rest, and each practitioner sees only the patients they are allowed to. Before any text is processed by an AI service, the patient's name and identifying numbers are replaced with placeholders. Read the Privacy Policy and Terms & Conditions.
Digital Health ID · for patients
What is the Digital Health ID?+
It is your own health card, kept on your phone at id.africa-care.com. It holds your details, medical aid, your appointments, and the discharge summaries and prescriptions from the practices that treat you.
How do I activate it?+
Your practice gives you a claim code. Open id.africa-care.com, enter the code and confirm with the one-time PIN we send you on WhatsApp. After that you sign in with your phone number.
How does the emergency card work?+
Your card has a QR code and an emergency code. Whoever scans it in an emergency sees only a limited emergency view, never your full record. You can add your own words, such as allergies or who to call, and switch emergency access off at any time.
Who can see my records?+
The practices that treat you see the records they are allowed to under their professional duties. For questions about a specific record, contact that practice directly. For help with the Health ID itself, contact us.
